Reflection task: Deciding when AI use should be disclosed

Read the scenario below.

An adult education centre, “HEROES”, uses AI to help staff prepare learner feedback and communication messages. The AI tool is not used to grade learners or make final decisions. However, staff sometimes use it to draft personalised comments, suggest next learning steps and write messages to learners who are absent or falling behind.

Step 1: Identify where transparency is needed

Write short answers to the following questions:

1. Which uses of AI in this scenario directly affect learners?
2. Which uses are only internal support for staff?
3. Where should learners be informed that AI may be used?
4. What should learners be told in simple language?
5. Who should check the AI-generated outputs before they are shared?

Step 2: Draft a simple disclosure statement

Write a short statement that the education centre could share with learners. Your statement should explain:

– that AI may be used to support staff;
– what AI may be used for;
– that staff remain responsible for final feedback and communication;
– that learners can ask questions or request clarification.

Example statement

“Our centre may use AI tools to support staff in preparing learning materials, feedback, or communication. AI is used as an assistance tool only. A staff member reviews the content before it is shared with learners. If you have questions about feedback or communication you receive, you can contact your educator or the centre administration”.

Step 3: Decide what human oversight is needed

Answer:

1. Which AI-generated outputs should always be checked by a human?
2. Who should be responsible for approving the final version?
3. What should happen if a learner disagrees with AI-assisted feedback or communication?
