Lesson 2. Strategic Thinking for AI Integration
Reflection task: From tool-first to need-first thinking
Choose one possible AI use in your organisation or team. This could be something already being discussed, or an idea you think might be useful. Examples:
- – using AI to draft learner communication;
- – using AI to adapt learning materials;
- – using AI to summarise meeting notes;
- – using AI to support lesson planning;
- – using AI to answer repeated learner questions;
- – using AI to help organise project documentation.
Step 1: Identify the need
Answer briefly:
- 1. What organisational or staff needs are you trying to address?
- 2. Who experiences this need most directly?
- 3. How is this task or challenge currently handled?
- 4. Why does this matter for the organisation?
- 5. How could adult learners be affected, directly or indirectly?
Step 2: Check whether AI is suitable
Answer:
- Could AI realistically help with this need?
- What would AI do – draft, summarise, translate, adapt, organise, suggest, analyse or something else?
- What should still remain a human responsibility?
- What skills or support would staff need?
- What could go wrong if the AI tool is poorly chosen or poorly introduced?
Step 3: Decide on the first step
Choose one realistic first step:
☐ Discuss the need with colleagues
☐ Test a low-risk AI use case
☐ Ask staff/colleagues what support they need
☐ Check whether approved tools already exist
☐ Prepare simple guidance for this use case
☐ Ask management or the digital lead for advice
☐ Decide that AI is not needed for this task now

Write one short statement:
“The AI use case I would consider is ______ because it addresses ______. Before using it, we would need to ______.”
